S33 Consolidate Parties

 

Purposes:

 

This screen allows the MIMS user to delete a party that has been identified as a duplicate.

 

Prerequisites:

 

1.       MIMS user must have applicable security authorization to access this screen.

            The following groups have access to this screen:

 

·        Call Center (view only, search button is available but consolidate button is not).

·        Collection Agents (RGPU, File Intervention, Comp4)

·        Compliance Agents (Comp5)

·        Finance Agents

·        Finance Trust Accountants

·        Registration Agents

·        ISO Agents

·        Special Investigations Unit Agents

·        Supervisors/Team Leads (for the agents listed above)

·        System Administrators

Helpful Hints:

 

 

Procedure:

 

1.       Begin by selecting Party Tab.

2.       On the left-hand side of the screen, click the hyperlinked word ‘Consolidate’ located under the current date.

3.       Enter a party number in the ‘First Party Nbr’ field and a different party number in the ‘Second Party Nbr’ field.  Click on the ‘Get’ button.

4.       MIMS user visually compares the ‘First Party Information’ and the ‘Second Party Information’ as displayed.

5.       Select the party that will become the ‘Keeper’ party by clicking on the ‘Keep Party’ button. The party that was not selected is referred to as the “throwaway” party.

6.       Scroll down and click on “consolidate’ button.

7.       The system displays an informational message.

8.       Click ‘OK’ on the informational message to continue consolidation.

9.       Click ‘Cancel’ on the informational message to return to the screen.

10.   The system displays an informational message confirming consolidation.

First Party Nbr

Enter the first party number.

 

 

Second Party Nbr

Enter the second party number that is assigned to the same party.

 

Click this button to retrieve the two similar parties.

 

First Party Information

 

Party Number

Displays the party number entered in the ‘First Party'.

 

Party Alerts

Displays all the active alerts for this party.

 

Keep Party

If this is selected, this party number will remain.

Known as the ‘Keeper’.

 

Related Files – Display for Individual Party Type

 

File Nbr

Displays the MEP and Provisional file numbers related to the party in question.

 

Role

Displays the party’s role as it relates to this file.

 

Status

Displays the status of the file.

 

Compliance

Displays the compliance level of the file.

 

Current Name

Displays the party’s name.

 

Gender

Displays party’s gender.

 

Birth Date

Displays party’s date of birth.  Display date in format YYYY-MM-DD where Y = Year, M = Month and D = Day.

 

Date of Death

Display party’s date of death (if applicable).  .  Display date in format YYYY-MM-DD where Y = Year, M = Month and D = Day.

 

Mailing Address

Displays the most current mailing address.

 

Address Status

Displays the status of the address (i.e. good, bad).

 

SIN

Displays the party’s Social Insurance Number.

 

PHN

Displays the party’s Personal Health Number.

 

Client MV ID

Displays the party’s Motor Vehicle Identification Number.

 

MVD Operator Nbr

Displays the party’s Motor Vehicle Operator Number.

 

First Party Information – Display for Organization Party Type

 

Current Name

Displays party’s name.

 

Status

Displays organization party status.

 

Legal Name

Displays the legal name of the organization.

 

Mailing Address

Displays the most current mailing address.

 

Address Status

Displays address status (i.e. good, bad).

 

Second Party Information – Same as First Party Information

 

Keep Party

 If not selected, this will be the “Throwaway” party.

 

Click this button to consolidate the two selected parties.
